China sourcing agent: quotes, samples, MOQ and lead times
A China sourcing agent finds the supplier, negotiates, orders, inspects and ships the goods for you. Many ecommerce service centers include this in their offer: you name the product, they handle the rest up to their warehouse in your selling country.
This guide explains how to work with an agent or center: what to send them, how to read a quote, how to handle samples, minimum quantities and lead times, which terms to put in writing, and which signals should worry you.
What a China sourcing agent does
The agent is your representative on the ground: they speak the language, know the platforms (Alibaba.com, 1688) and factories, and can physically check the goods. Some ecommerce service centers include this role: GibShip, for example, presents an import service where “our agents” source the product, negotiate the price and route it to its warehouse (Services page).
| Task | Agent or center | You |
|---|---|---|
| Product choice | Can suggest alternatives | Final decision, based on your market |
| Supplier search | Yes | Approve the criteria |
| Price and MOQ negotiation | Yes | Target price and budget |
| Sample | Orders, photographs, ships | Approval |
| Paying the supplier | Yes, per the contract | Paying the agent |
| Pre-shipment check | Photos, count, checks | Written inspection criteria |
| Freight and customs | Arranges it, often to the warehouse | Choice of air or sea |
Step 1: the product brief to send
- Photos and links of the target product (ad, Alibaba, AliExpress).
- Use and key specs: size, material, color, accessories, voltage if relevant.
- Quantity for the test and a possible restock.
- Target price landed at the warehouse, worked out from your margin (see how to find winning products).
- Destination country and known import constraints.
- Packaging you want: plain, sturdy, suited to COD delivery.
Step 2: reading an agent’s quote
| Line | What to check | Common trap |
|---|---|---|
| Product unit price | For the exact quantity ordered | Price given for a larger quantity |
| Minimum order quantity (MOQ) | The supplier’s and the agent’s | MOQ announced after approval |
| Agent service fee | Amount or percentage, what it covers | Inspection or packaging fees added later |
| Sample | Price, lead time, shipped or photo only | Sample differs from production |
| Domestic delivery in China | Included or not | Left out of the total |
| International freight | Air or sea, price per kg or m³ | Volumetric weight not explained |
| Customs and taxes | Included or on you | Surprise bill on arrival |
| Lead times | Production, freight, receipt | Lead times not in writing |
For an idea of freight times, GibShip’s public rate card (October 2026) states 5 to 7 days by air to Senegal, 2 to 3 weeks by air to Mauritania and 45 to 60 days by sea. Add sample and production time on top. Our guide on shipping from China to Africa and the Gulf covers freight and customs in detail.
Step 3: samples and MOQ
A sample is still essential: Alibaba notes in its guide to samples that a sample may differ from the mass-produced product. If you can’t receive it, ask for detailed photos and video at least, and keep them as the written reference for production.
On minimum quantity, ask the agent to negotiate a smaller first batch, even at a slightly higher unit price: a small batch limits the loss if the product doesn’t sell. The restock price should be stated from the start.
Step 4: putting terms in writing
- Product description and reference to the approved sample.
- Quantity, unit price, service fees and total.
- Production and shipping lead time.
- Pre-shipment inspection criteria and what happens if there are defects.
- Payment terms (deposit, balance) and currency.
- Who pays freight, customs and taxes, and up to where.

Key takeaways
A China sourcing agent saves time and prevents mistakes, as long as you give them a precise brief and insist on a full quote, a sample, written terms and inspection photos. Frequently asked questions
How much does a China sourcing agent cost?
Models vary: a percentage of the order, a flat fee per order, or a service included in an ecommerce center’s offer. Ask for a quote that spells out what the fees cover (search, sample, inspection, packaging, domestic delivery) so you can compare total landed cost.
Should I receive the sample myself?
It’s better, so you can test and film it. If shipping is too slow or expensive, ask for detailed photos and video, and make that sample the written reference for production. Samples can differ from mass production, so a pre-shipment check is still needed.
How do I avoid agent scams?
Insist on a detailed quote and written terms, pay in stages (deposit, then balance after inspection), ask for production and count photos, and be wary of abnormally low prices or branded products offered cheaply.
How long between ordering and selling?
Add up sample, production, freight and receipt at the center. For freight alone, GibShip’s October 2026 rate card states 5 to 7 days by air to Senegal and 45 to 60 days by sea. Plan your ads around the stock’s real arrival date.
Can an ecommerce center replace the agent?
Yes, if its offer includes import: it sources, buys, ships, stores, then confirms, delivers and collects your COD orders. You get a single contact, but you depend on its sourcing capabilities. Compare with an independent agent if you need specific suppliers.
