How to buy from Alibaba and vet a reliable supplier

Knowing how to buy from Alibaba lets you order directly from factories and wholesalers, mostly in China, at wholesale prices. For a COD seller, it’s often the first source of products. But Alibaba isn’t a store: it’s a business-to-business marketplace where quality depends on the supplier you pick and how precise your request is.

This guide lays out the method to find and vet a reliable supplier: prepare a product brief, filter, compare, request quotes, test a sample, negotiate, pay with protection, then arrange inspection and freight to your service center.

How to buy from Alibaba: what to know first

Alibaba.com connects business buyers with manufacturers, wholesalers and trading companies. Three differences from a retail site:

  • A minimum order quantity (MOQ) is set by most suppliers, and it’s often negotiable.
  • Price depends on volume, packaging, options and delivery terms: the listed price is indicative.
  • Quality varies widely between suppliers for products that look identical.

If you’re starting out, an ecommerce service center can handle sourcing for you (see our guide to choosing a COD fulfillment center). Understanding the method still helps you check what it does.

How to buy from Alibaba: product brief, filtering, comparison, quotes, sample, negotiation, Trade Assurance payment
The seven steps of a controlled purchase.

Step 1: prepare a precise product brief

The more precise your request, the more comparable the quotes. Include reference photos, dimensions, material, color, accessories, target quantity for the test and the restock, packaging type, and destination country (your service center). Sending the same brief to every supplier stops you comparing different products.

Step 2: find and vet a reliable supplier

Search by keyword or image, then filter. Signals to check:

Steps 3 and 4: compare and request quotes

Contact three to five suppliers with your brief. You can also post a request for quotation (RFQ): according to Alibaba, buyers post a detailed request and suppliers respond. Compare in a table: unit price at your target volume, MOQ, sample cost and lead time, production time, packaging, delivery terms.

Production10 days7 days15 days
Verified SupplierYesYesNo
Here B is the most expensive but the only one compatible with a small test (MOQ 50); C is ruled out (MOQ too high, no sample, not verified).

Step 5: order a sample

Alibaba says it itself in its guide to samples: most suppliers won’t suggest one, so you have to ask; expect to pay a small amount for the sample and shipping; and a sample may differ from the mass-produced product. Test it properly, photograph it for your ads, and keep it as the reference for production.

Step 6: negotiate and place the order

  • Price and quantity: negotiate a first order at the lowest possible MOQ, with the restock price stated.
  • Packaging: plain or branded, sturdy enough for freight and COD delivery.
  • Production time in writing, and conformity with the approved sample.
  • Delivery terms: how far the supplier handles shipping and who pays what. Coordinate with your center or freight forwarder.

Step 7: pay through Trade Assurance and inspect

According to the Trade Assurance page, a payment made through Alibaba.com is protected: delivery by the scheduled date or delay compensation, protection against defects, incorrect or damaged items, and a refund if the order hasn’t shipped. Alibaba says it accepts cards, digital wallets, bank transfers and installment plans for eligible buyers.

Before shipping, ask for production photos and videos, or have the batch inspected by your center or an inspection company. Then arrange freight to your service center: air or sea, plus customs clearance in the destination country (see our guide on shipping from China to Africa and the Gulf).

Frequently asked questions

Is Alibaba reliable?

Alibaba is a marketplace: reliability depends on the supplier. Badges like Verified Supplier and paying through Trade Assurance reduce the risk, but they don’t replace a sample, written negotiation and a pre-shipment check. Never pay outside the platform.

What is MOQ on Alibaba?

It’s the minimum order quantity set by the supplier. It’s often negotiable, especially for a first test order, sometimes at a higher unit price. Also ask for the planned restock price, so you can calculate your margin over time.

What does Trade Assurance cover?

According to Alibaba, Trade Assurance protects payments made through the platform: delivery by the scheduled date or delay compensation, protection if the product is defective, incorrect or damaged, and a refund if the order hasn’t shipped. Read the terms and claim deadlines before paying.

Should I always order a sample?

Yes, before any volume order. Alibaba notes that most suppliers won’t offer one themselves and that a sample may differ from mass production: keep it as your written reference, and check the batch conforms before it ships.

Who handles freight and customs?

It depends on the terms agreed with the supplier. For a COD seller, the simplest route is often delivery to an agent or service center that consolidates, ships and clears customs to its warehouse. Duties and taxes depend on the country, so check with a local professional.

You launch the store and the ads. The center does the rest.
